1: Your Site Addresses

Each row in the spreadsheet will become one point on the map. Your spreadsheet must have columns that contain the address. The standard format should include Address, Address2 (if needed), City, State, and Zipcode (5 digit).

  • Address: This primary address column should contain only the building number and full street name including St., Blvd., etc, and any directional information such as N, S, NE, etc. Do not include unit numbers or apartment numbers in this column.
  • Address2: If the address has an apartment, suite, or unit number, put it in this column.
  • City: City name.
  • State: Standard state postal abbreviation.
  • Zipcode: 5-digit zip code. At this time, we can not locate points on a map using the zip+4. If you'd like to retain the zip+4, consider keeping it in another field.

Along with the list of your sites, you will need to send a document that tells us how to interpret your data. We refer to this as the Data Description Document. (Contact us at pmnullap@polnullicymap.com for a template.) For example, you need to define which columns contain the site address, as the image below shows.

  1. Multiple addresses on one line should be separated on two separate rows.
  2. An address range should be separated if it refers to multiple properties.
    Hyphenated addresses, such as 123-127 Main Street, will be mapped to the position of the first street number – in this case, 123 Main Street. If you intend a hyphenated address to mean a series of points on the map (eg, 123 Main St, 125 Main St, 127 Main St), please list them out as separate rows.
  3. Street numbers are essential. Addresses that do not contain street numbers will not appear in PolicyMap.
  4. Locations that are not addresses will not appear in PolicyMap.
  5. Locations with missing addresses will not be displayed in PolicyMap.

We have a number of techniques that we use to try to locate all your sites on the map. Some addresses, though, can't be located. These generally include rural route addresses, post office boxes, and block-lot type addresses. They also include very new roads, such as those recently constructed in new residential subdivisions. PolicyMap will contact you early in the process if we suspect your dataset is a poor candidate for mapping, or if there are improvements that you may be able to make to increase the match rate.

You can fix or update your data once every three months.
